Administrative Assistant / Concierge

Raya’s Paradise, Inc. is a residential care community with multiple locations throughout The West Hollywood area and licensed by the State of California. Our communities are modern, clean, bright, and cheerful. As an Administrative Assistant / Concierge, you will be responsible for the following:

•Ensure that the front entrance, lobby, and reception areas are neat, clean, and organized at all times, presenting a professional first impression of the community

•Ensure all people who come in contact with are welcomed warmly to the community by standing to greet and offering any assistance needed

•Support the mission, vision, and culture of the organization through positive communication.

•Contribute to Community relationships by demonstrating cooperation and professional conduct with residents, families, fellow associates, physicians, pharmacies and other vendors or persons.

•Contribute to team effort by being flexible in work assignments; by furnishing support; by taking initiative.

•Schedule and coordinate transportation for resident’s doctors’ appointments

•Answer telephones before the 3rd ring, always using a professional and courteous voice followed by the designated script

•Transfer incoming calls or take and deliver appropriate messages

•Monitor all visitor, requesting them to sign in using our electronic system, reporting any suspicious persons or activity immediately to the supervisor

•Sort and distribute incoming mail

•Accept and report resident’s special requests to appropriate department

•Maintain communities lost and found system

•Order and replenish administrative supplies as necessary

•Support Executive Director and other departments in administrative functions as needed

•Ensure regulatory compliance and report any issues or concerns immediately

•Comply with Raya’s Paradise standards/policies to encourage safe and efficient operations

•Encourage teamwork through open communication with associates

•Display a positive and professional image through actions and maintain high standards of personal appearance and grooming, which includes wearing the proper uniform and name tag when working

•Perform other duties and tasks as assigned or required

Job Requirements:
  • At least 2 years of experience in similar operation (i.e., eldercare, administration)
  • First aid and CPR certification
  • TB clearance
  • Fingerprint clearance from FBI and DOJ
  • In good standing with the Social Security and Facility Administration
  • At least 21 years of age
  • Proficient in Microsoft Office, data entry, and general computer use
  • Positive interpersonal skills (including the ability to interface appropriately with other staff, residents, clients, and LPA’s)
  • Possess a professional in-person and telephone demeanor at all times
  • Organizational skills and ability to pay attention to details
  • Strong written, verbal and listening communication skills
  • Able to work independently and as part of a team
  • Able to follow safety guidelines
  • Valid driver license, good driving record and current auto insurance
